Maintenance Coordination

We manage tenant-reported maintenance issues from first contact to confirmed resolution — coordinating all parties and keeping you updated throughout.

What this includes

  • Receiving and logging maintenance reports from tenants
  • Initial assessment and documentation of each issue
  • Coordinating access and scheduling with tenants
  • Follow-up and completion confirmation
  • Documented records for each maintenance event

Issue Triage

Every reported issue is assessed and categorised before any action is taken — ensuring the right response, at the right time, with your approval thresholds respected.

Triage categories

Emergency

Immediate risk to safety or property integrity — e.g. gas leak, flooding, total loss of heating in winter. Escalated immediately.

Urgent

Significant disruption to tenants' reasonable enjoyment — e.g. boiler failure, broken lock, plumbing fault. Addressed within days.

Routine

Non-urgent maintenance and general repairs — e.g. dripping tap, minor cosmetic work. Scheduled in normal course.

Contractor Management

We coordinate trusted independent contractors and monitor the completion of works — including scheduling, access coordination, and outcome reporting.

  • Sourcing appropriate trades for each job type
  • Scheduling visits and coordinating with tenants for access
  • Obtaining quotes within your approval threshold
  • Escalating for landlord approval where required
  • Monitoring work completion and quality confirmation
Note: Contractor costs are separate from the LettingOps subscription and are paid directly by the landlord.

Landlord Reporting

Clear, structured updates at every stage — so you know the status of each issue without having to chase or manage it yourself.

Reporting includes

  • Issue acknowledgement and triage outcome
  • Contractor appointment confirmations
  • Approval requests where threshold is exceeded
  • Completion confirmation and summary
  • Periodic portfolio summaries (Managed and Complete plans)

Property Inspections

Bi-annual property inspections with structured photographic reporting — available on Managed and Complete plans. Designed to identify maintenance risks before they become costly problems.

Inspection reports include

  • Full property walkthrough — internal and external
  • Photographic documentation of condition
  • Identification of emerging maintenance risks
  • Written summary report delivered to landlord
  • Recommended actions with priority classification
